Job Responsibilities:
Large residential building company located in Bloomfield Hills is seeking a part-time Administrative Assistant. The right candidate will be a professional, dependable, punctual team player who provides enthusiastic support to several departments. This part-time position requires some flexibility with 20 to 24 hours per week (either Mon-Fri 1 PM - 5 PM or Mon, Wed, Fri 8 AM 5 PM). The Administrative Assistant serves as a resource for customer service related questions and inquiries.

Responsibilities include:

  • Answer, screen and transfer incoming phone calls.
  • Check voicemails daily and distribute messages.
  • Organize master files, rental reports, monthly cash throw-offs, and rental rate increases.
  • Create reports, forms, labels, and booklets.
  • Copy, shred and laminate upon request.
  • Sort and distribute two deliveries a day. Manage incoming FedEx and UPS packages and prepare outgoing FedEx orders online.
  • Run errands for Office Manager to various places (approximately 4 hours of driving per week), including multiple banks and post office.
  • Distribute incoming faxes.
  • Print Liability Claims and Vendor invoices from email and forward to the appropriate recipients.
  • General upkeep of office, including copy/printer stations, kitchens, meeting rooms and supply storage areas.
  • Order food and supplies for the office.
  • Keep accurate receipts for the petty cash drawer and/or stamp drawer and ensure the money balances.
  • Provide assistance to co-workers, management, residents, vendors, and all outside contacts.
  • Additional duties as assigned.
Job Qualifications:

  • Minimum High School Diploma or equivalent or Associates Degree preferred
  • 1 year of previous administrative experience preferred.
  • Ability to effectively and professionally communicate both orally and in writing with co-workers, management, residents, vendors, and all outside contacts in a courteous and professional manner.
  • Must be detail oriented and able to prioritize tasks.
  • Must be proficient in Microsoft Office programs, especially Excel, Word, Outlook, and also Adobe Pro.
  • Basic accounting and writing skills required.
  • Ability to use standard office equipment is required.
  • Experience in using a multi-phone system is preferred.
  • Must possess a valid driver’s license to run daily errands using a company vehicle, including trips to the post office, banks and shopping for the office (3+/- hours per week driving).

Employees are required to be honest and trustworthy with a satisfactory background and DMV record.
